Start with the service and the working arrangement
Explain the business, priority offer and target market. Then agree whether the work concerns advertising, social media, SEO, web design or a combination. Avoid treating a broad label such as “digital marketing” as a complete list of deliverables.
DPA works remotely from İzmir, Türkiye. For an English-speaking business, the initial conversation should establish the working language, contact person and practical meeting schedule. A shared calendar should use named time zones rather than an ambiguous “10 am”, particularly when the business operates across the UK or several US time zones.
Make ownership and access clear
Create an inventory of the website, advertising accounts, analytics, business profiles and creative materials relevant to the work. Identify the current owner and the person who can authorise access. Use the appropriate account invitation process rather than exchanging a shared personal password.
Before an agency change, confirm what needs to be transferred and what will continue running. Do not delete existing assets merely because a new team is starting. A written handover should distinguish ownership, access, billing and responsibility for ongoing changes.
Define the approval path
Decide who checks factual information, who approves public copy and who can confirm prices or availability. The agency may prepare a design while the business supplies product facts or photographs. Missing business input can delay publication even when production work is complete.
| Work item | Business contribution | Agency contribution to agree |
|---|---|---|
| Service page | Scope, availability and factual approval | Structure, copy and implementation |
| Advertising | Offer, budget and capacity | Setup, management and reporting scope |
| Creative content | Genuine source material and approvals | Agreed design, copy or editing |
| Enquiry follow-up | Customer conversations and confirmed outcomes | Reporting definitions and review support |
Plan communication around decisions
Use meetings to settle a defined question, such as which service to prioritise or which page needs new information. Routine updates can be recorded in the agreed channel with the decision owner and next action. This reduces the risk of tasks disappearing between time zones.
A hypothetical US service business could provide customer feedback at the end of its day for review in the next agreed working window. The exact schedule should be discussed, not assumed. A remote arrangement does not imply round-the-clock availability or on-site production in the client’s country.
Agree what reporting can and cannot show
Separate work completed, platform observations and confirmed business outcomes. A report may show a contact click while the business knows whether an appointment happened. Both sides need to understand which information is available and who supplies it.
DPA’s first scope discussion can cover existing assets, responsibilities, communication and the next deliverable. Request a clear written scope before starting. Keeping assumptions visible makes the working arrangement easier to evaluate than a broad promise of growth.
- Agree the scope and exclusions.
- Record account ownership and authorised access.
- Name the fact-checking and approval contacts.
- Use explicit meeting time zones.
- Define the outcome information the business will supply.
Frequently asked questions
Does a remote agency need an office in my country?
An office is not required for every type of remote work. Confirm where the agency operates, how communication works and whether any on-site tasks need a separate arrangement.
Can DPA work only on one part of our marketing?
The scope can be discussed around your actual need. Website, content, social media and advertising do not have to be commissioned as one undifferentiated package.
